How Board Teams work in Kerika

A good place to start learning about teams and privacy is this overview video:

Teams & Privacy Duration: 1:32 minutes

Learn more:

  • What's a Board Team?

Each Kerika board can have it's own team, consisting of Board Admins, Team Members and Visitors.

  • The role of a Board Admin

Each board can have several Admins: these people get to decide how a Task Board is laid out in terms of columns and workflow. Board Admins also control; who else is part of the Board Team: they can invite and remove people from the team as needed.

  • The role of Team Members

Team Members are the active participants on a board: they can add new cards to a Task Board, change what's already on a board, and even remove items from the board.

  • The role of Visitors

Visitors automatically get read-only access to all the project files for the board.

  • Public and Private Boards

Each Kerika board can have its own privacy level: share only with the Board Team, make it viewable by everyone in the Account, or make it viewable by anyone on the Internet.

How Account Teams work in Kerika

An Account Team consists of everyone who is currently a Board Admin or Team Member, across all the boards owned by that Account.

During your 30-day Free Trial, you can let your Account Team get as large as you like. Once the trial is over, you will need to get annual subscriptions for everyone who is part of your Account Team.

(As you add people to your Account Team, Kerika will prompt you to buy additional subscriptions.)

Folks that qualify for Academic & Nonprofit Accounts can get a discount on all plans.

Using Task Boards

Kerika's Task Boards are incredibly flexible: they can be used for simple To Do lists, all the way up to complex workflows for large team projects..

Your Task Boards can be laid just the way you want: the right number of columns, in the right order.

Managing Tasks

Getting stuff done means scheduling tasks and staying up-to-date on progress; these videos show you how it's easy with Kerika:

Due Dates in Kerika Duration: 1:23 minutes
Notifications in Kerika Duration: 00:38 minutes
WIP Limits in Kerika Duration: 00:46 minutes

Learn more:

Each card on a Kerika Task Board can have a list of tasks that can each be scheduled, assigned, and tracked.

All your Kerika due dates can appear in your Microsoft, Apple or Google Calendar.

Work-in-Progress Limits can be used to control the flow of work and avoid bottlenecks on Task Boards.

Kerika makes it easy to automatically cards on a Task Board in order of how they were added to the board.

Managing Content

Files from your desktop, your Google Drive or Box Account, from anywhere on the Web or your Intranet (including SharePoint) can added to any of your Task Boards or Whiteboards.

Learn more:

  • Content management

How Kerika manages your content for you: where we store files, and how we handle access and versions.

  • Automatic tracking of versions

Kerika automatically keeps track of multiple versions of every file, no matter which Team Member made the changes.

  • Archiving your old boards

When a project finishes, you can archive its Task Boards and Scrum Boards. Archiving will preserve a board in a completely frozen state, including all the documents that were attached to the tasks or canvases on the board.

Exporting data from Kerika

You can export all the data from any Task Board with just one click; this video shows you how:

Exporting cards Duration: 00:31 minutes

  • Exporting data

You can export data from a Task Board in a HTML format that's suitable for printing or importing in Microsoft Word and Google Docs, and in an Excel format.

Managing Conversations

Kerika's Chat feature is the smarter alternative to old-fashioned email: instead of drowning in a sea of "reply-all" messages, you can have short, focused conversations about individual work items.

Every card, on every Task Board, can have it's own chat stream: any Team Member can contribute to the chat on any card (even if they are not assigned to that particular work item), and everyone with access to the board — and that includes Visitors — can read the chat.

Everything, of course, is real-time, just like the rest of Kerika. Check out this tutorial video on how chat works in Kerika:

Managing Large Projects

Kerika is designed to scale up — to let your boards get as big as needed to get your work done.

Kerika's Highlights make it really easy to focus in on what matter's most to you: like the cards that are assigned to you, or the items that need particular attention.

And as you get involved in multiple projects, Kerika's unique Views feature helps you easily see what matter's most, across all the boards in an account.

Views & Highlights Duration: 00:51 minutes

Kerika also makes it easy for you to archive old, completed boards or to deleted (and later recover, if necessary) your unneeded boards.

Learn more:

  • Archiving boards

If you are done with a board and want to preserve it exactly, archive it.

  • Making backups

  • Using Search

Kerika's Search function lets you quickly look for any piece of text, across all your boards.

  • Using Templates

Google Design Sprints

A complete set of templates for running 5-day Design Sprints, using Google Venture's methodology

  • Day 0: find the right challenge, and the right team to take on that challenge. And make sure you have space booked for the team, e.g. a conference room that's available for the entire week.
  • Day 1: agree on a long-term goal, make a map of the challenge, ask experts within your organization to provide input, and pick a specific target for the Sprint.
  • Day 2: start to look at solutions: review existing ideas and then each person will sketch a 4-step process using critical thinking. (And recruit customers who can help with the final day of the Sprint.)
  • Day 3: critique all the solutions proposed the previous day, and decide which ones seem most promising. (Next, you will take the best elements from each person's sketches and put together a storyboard.0
  • Day 4: take the storyboard from the previous day and create a prototype (just a façade) that can be used to test with your customers.
  • Day 5: On the final day you will test your prototype with your customers and observe how they react to it.

Managing your Account

Everyone gets the same software, no matter what sort of Account you have; what varies between the service levels is the size of your Account Team.

Learn more:

  • The different types of Accounts

Which kind of account do you have? Free Trial, Professional, and Academic/Nonprofit Accounts?

  • The role of the Account Owner

Each Account has a single owner, who owns all the boards and all the files attached to these boards, and who is responsible for buying as many subscriptions as are needed for the Account Team.

  • Upgrading your Account

As your Account Team grows in size, you may need to upgrade your Account, e.g. from a free Academic/Nonprofit Account to a Professional Account, if you need more than 10 people in your Account Team.

  • Closing your Account

If you decide you don't want to use Kerika anymore, you can contact us and we will delete your Account for you. (This will permanently remove all your Kerika boards and files, so take care!)

  • Getting kicked off

This happens rarely: if we believe you are abusing the Kerika service or violating our Terms of Service, we will delete your Account. Also if it seems like you don't plan to ever pay your invoices.
